Job Description:

The Office Administrator will provide general support to the President of KNIPEX Tools LP, as well as other members of the management team. Position Overview This position requires a high level of confidentiality, flexibility, sense of urgency, and attention to detail. -This position will also assist with the office management including hospitality, organization, and event planning. Position Responsibilities Create general internal and external correspondence, including trade show follow up mailings; assist with spreadsheets, databases, reports and presentations. Maintain the KTLP contact list. Maintain event and conference room schedules. Plan company events and meetings. Order refreshments, and oversee set up and clean up. -Act as host to visitors and customers in for meetings. Schedule and confirm appointments for clients, customers, or supervisors. Make travel and lodging arrangements for the management team and visitors. Act as liaison between IT in Germany and local users. Mail newsletters, promotional material, or other information working with UPS.com. Monitor internal office and kitchen supplies inventory and communicate purchasing needs to accounting. Order promotional items or branded attire for the sales/marketing teams as needed. Operate and maintain office equipment such as coffee machine, fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions. Maintain the office kitchenette and reception areas. Decorate seasonally. Arrange teleconference calls. Prepare and manage expense reports for both the Vice President and President. Filing of documents as assigned. Manage incoming email messages as assigned. Prepare presentations, spreadsheets, and reports as assigned. Prepare written communications, either via word or email as assigned. Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals. Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs. Open, read, route, and distribute incoming mail or other materials and answer routine letters. Other duties as assigned. Position Requirements Knowledge: A high school diploma or GED, plus three years of office experience or equivalent in years of experience. -Bachelor's Degree preferred. Experience supporting multiple managers. Clerical - knowledge of administrative and clerical procedures. Service orientation - Actively looks for ways to help people. Highly proficient in Microsoft Office products; SAP or other comparable ERP proficiency a plus. Time management - effectively manages one's own time and prioritizes work from multiple sources. - Skills: Excellent written and verbal communication skills. Sense of urgency mindset with an assertive "let's get it done" - attitude. Detail oriented with strong problem solving skills. Demonstrated ability to handle a variety of assignments simultaneously. Ability to work under deadline pressure. Excellent follow up. Ability and confidence to communicate at all levels, internally and externally in a professional manner by phone, email and face to face contact. Excellent organizational skills and attention to detail. Personal Attributes: Flexible work attitude; ability to learn new things quickly.
